Job description:
Working with the Head of Resources and Head of Formation on a fixed term project basis to review the current operational working practices and recommend areas for improvement in the light of strategic changes in Selection; devise and design new operational processes and role profiles that support the new direction. Induction will be provided to familiarise the postholder with current procedures and legacy processes.


* Coordinating the Advisory Panels process between the Selection Secretaries and the Administrative team and resolution of any emerging issues
* Managing the work of the administrative team; setting the priorities, identifying training needs and ensuring that each deliverable is tackled in a logical, structured order
* Liaising closely with the Selection Secretaries and ensuring that candidates and advisers are allocated efficiently.
* Preparing regular service monitoring reports and circulating to key stakeholders throughout the division
* Representing the support service at meetings where required
* Contributing to the review of process and recommendations for (administrative) and other initial process improvements (July - August), with implementation of any changes from September based on current approaches
* As a new selection process is defined, working to review and design a new administrative support system including processes and role definitions
* Providing advice and process support to the Head of Formation as he redefines the working model of the Selection Secretaries
* Ensuring that a new operating model is designed and developed which is consistent with organizational needs, delivers improvement and has flexibility for significant growth
* Document the new operating process and role requirements
* Maintain collaborative communication with all colleagues and stakeholders to evaluate effectiveness of process improvement and impact of plans.
* Pro-actively identify, escalate and resolve issues and potential obstacles in order to ensure successful implementation. Ensuring appropriate escalation and communication (upwards and downwards) of issues.



* Previous experience in a project management/business operations role implementing process design/organisational change initiatives to improve efficiency
* Role definition experience in a complex administrative environment
* Management experience of an administrative function/teams
* Experience of producing appropriate role and process documentation
* Significant experience of managing projects from design phase through to successful completion
* Familiarity with recruitment module systems/applicant tracking systems
* Proven ability to plan and control work, while managing changing and competing priorities
* Effective user of technology, digitally aware and able to adapt to technological change
* Project management qualification


* Able to identify and breakdown business and process problems and develop workable solutions
* Able to manage the full process lifecycle from design through to implementation
* Able to gather and analyse data (through interviews and wider research), problem solve and make decisions confidently
* Ability to organise and prioritise own workload and work to deadlines
* Able to build rapport at all levels and to challenge in a supportive, yet stimulating way
* Enjoys working in partnership with others and developing ideas collaboratively
* A positive team member who contributes, supports and leads as the situation requires, in order to maximise the effectiveness of the team's work.
* Ability to communicate effectively and confidently; to speak, listen and write in a clear, thorough and timely manner
